This Issue KwikPayLite helps you to prepare attendace of the employee. In Attendance profile, you can record the number of days the employee has been absent from work. Entering the Attendance for all your employees can be quite a daunting and time consuming task because you still need to enter the attendance details even if the employee has not been absent during the month. KwikPayLite allows you to decide if Attendance Calculation is required for working out the salary of your employees. In ‘Employee PayScale’ profile, just set the Business Element ‘Attendance Calculation’ to ‘Applicable’. In KwikPayLite, you have a unique feature called ‘Action’ to process a set of data at one go. First use ‘Action’ to create the Attendance details for a given month. Next select only the employees who had availed leave or had been absent and using the Modify option enter the necessary details. Above screen shows the Employee PaySlip in KwikPayLite.
Important elements in this profile:

Year: The Financial Year for which the Attendance is processed. The Financial Year given in the ‘App Information’ screen is used here. It is important to correctly maintain the Financial Year details in the ‘App Information’ screen (Press F1 for detail Help on Information).

Month & Month Name: The Month for which the Attendance is processed.

Employee Name: The name of the Employee.

Category Type: The Category Type of the Employee.

Days Absent: The number of the day the Employee was absent from work for the given month.

Days on Leave: The number of days the Employee has availed sanctioned leave for the given month.

Days Payable: The number of days in the month the salary is based on. Example, it could be 30 days for all the months or it can be the actual number of days in the given month. This value is referred from the Month profile. The ‘Atten Ratio’ and ‘Calc Ratio’ are based on this value.

Atten Ratio: The Attendance Ratio. If this value is 1.00, it indicates that there is no Loss of Pay for the employee. If the employee has been absent, this value will be less than 1.00.

Calc Ratio: The Salary Calculation ratio. If this value is 1.00, it indicates that the salary is worked out for the full month.

Attendance Calculation: This indicate the status of ‘Attendance Calculation’ set in the ‘Employee PayScale’ profile for the given month and employee.

Salary Calculation Type: This indicate the status of ‘Salary Calculation Type’ set in the ‘Employee PayScale’ profile for the given month and employee.

Question 1: I added an employee record and also added the Employee's Payscale record. I got the message that 'Data Already Exists..' Why?
Answer: After adding an Employee data, the Payscale and Personal info data are automatically added. Hence, you need to just alter them, using Modify option. Please check Help by pressing F11 key. Also try out the Tutorial topic - "How to enter a New Employee?", to learn more.

Question 2: After creating all our employee data, I ran Payroll process. Checked Salary data, but all values were zero. Not sure what I missed. Any help?
Answer: It is likely that "Attendance Calculation" element in Employee PayScale profile is set to "Applicable", for all your employees. If so, you must provide Attendance data for the month and then process Salary. Alternatively, you can set Attendance Calculation as "Not Applicable" and process Salary. Press F11 key in KwikPayLite, to learn more about all these options.

Question 3: I created Salary data by running the Payroll action. I have some corrections to apply. How to remove/alter the salary data?
Answer: If you think the Payroll action needs to be withdrawn, you may run the next Action i.e., Undo. It is the Undo Payroll action. This action removes the Payroll data for the month. Please ensure that you do not undo a wrong month's data. Alternatively, minor alterations on Salary data can be directly effected using Modify mode (after setting Salary Status to "To Calculate") & recalculating an Individual salary data.

Question 4: Can I rerun Payroll for the month?
Answer: Yes, you can. It is similar to last question. Run Undo Action and then run Payroll Action.

Question 5: How do I create Salary data?
Answer: Please ensure Payscale data including deductions are properly set for each employee. Check if Attendance data is available for the month (or, Attendance Calculation is set to "Not Applicable" in PayScale). Run Payroll Action ("Act On Salary to Add With..." action on Salary profile is to be selected and provide the required parameters). Thats all. You can check reports in Salary profile and print Payslips and other reports.
