In this issue, we will see how Amount Received from customers are accounted.
The amount received from the customers is accounted in the 'Receipts' profile. The amount received from the customers
can be for, settlement against sales Invoices or as an advance payment. After accounting the amount received,
it is required to indicate the sales Invoices against which the amount has been made, this is done in 'Allocation-Sales' profile. The 'Total Amount Received' of Customer profile is auto updated with this amount. Balance Amount: This value is calculated based on 'Received Amount' & 'Total Allocated'. Receipt Status: The status of the receipt is auto maintained. On completely using the amount received for settlement of sales invoices, the 'Receipt Status' is auto changed to 'Completed'. Only if the 'Receipt Status' is 'Open', the receipt can be used for settlement in 'Allocation-Sales' profile. |

The important elements in this profile are: Receipt No: By default this is number is an auto incremented sequentially. The number has to be unique, duplicate Receipt Numbers is not allowed. Only for the first entry user needs to give the starting sequence. Receipt Date: The date on which the amount was received. While creating a new receipt the current date on your computer is shown by default. The user can change the date, if required. The format of the date is as per your computer settings. Customer Name: The name of the customer who has made the payment. Payment Type: Indicates whether the payment is against settlement of a sales Invoice or an advance payment. Received Amount: The amount received from the customer. Total Allocated: The total amount that is used up to settle the sales invoices for this receipt. Balance Amount: The balance amount available for settlement of sales invoice from this receipt. Payment Mode: The mode of payment made by the customer. Receipt Status: The current status of the receipt. 'Open' indicates that the amount received is not completely used up for settlement of sales invoices. The Quotation Status has to be changed to 'Confirmed' before creating an Invoice. In EasyPlant the 'Quotation Status' is auto set to 'Completed' if all the Products mentioned in the Quotation are despatched in full. But the 'Status Updation' should be set to ‘Auto’ to enable this feature. The Quotation can also be 'Short Closed' i.e., after dispatching part of the quantity ordered. To do this, you must change the 'Status Updation' to 'Manual' and then change the Quotation Status to 'Short Closed'. The Selling Price mentioned in Quotation Line profile is inclusive of Excise & Cess. |

GRN can be raised against a Purchase Order only if the Status of the PO is ‘Approved’. Hence it is important that the 'PO Status' in PO profile is maintained correctly. The GRN value is calculated based on the 'Accepted Qty' only and not on the actual quantity supplied by the supplier. |

Mention the Despatch Mode and the Payment Terms. These will be printed in the Purchase Order. Save the entry and proceed to select the Items for the Purchase Order. Select the Item from the list and enter the purchase quantity. By default the purchase price you had given in the 'Item Supplier' profile is shown, you can change it if needed. Remember the price is inclusive of Excise and Cess. Save the entry and select the next Item. The Purchase Order is completed once you have included all the Items that are wish to order from this supplier. Remember the 'PO Status' has to be changed to 'Approved' before print the Purchase Order. |

Select the Item Name that is required for production and enter the 'Requested Qty'. Remember the 'Issue Qty' should be entered only the stores in-charge after issuing the Item to the production department. Save the entry and proceed to select the Items that are required one by one. |

The PCN Number will be auto incremented, enter the date of the document. Select the 'WO No' against which you want create production credits. The Product Category and Product Name will be displayed for 'WO No' selected. Enter the 'PCN Qty' remember it cannot be more than the 'WO Qty' shown. EasyPlant will update the closing stock quantity & value of the product as soon as you save the entry. |
